Service & Owner Retention: Keep owners coming back to your service lane.
After delivery, QualiFlow keeps the relationship going. Service requests reach the right advisor, status updates stay honest, and check-ins are timed to each owner’s lease, finance or cash purchase.
- Routed to advisors
- Honest status updates
- Lease-aware check-ins
Example of an owner record at Riverton Motors: Maria G. leases a 2022 RAV4 XLE, and her lease end date is verified for April 2027. A maintenance reminder based on approved guidance was booked, and a status update that her RAV4 is ready for pickup was sent from the advisor’s update. After pickup, Aria asks how the visit went. Maria says the lease ends in spring and she is eyeing a new Highlander, so a sales opportunity is created for Jordan, her salesperson.
The problem at your store
The car leaves the lot. The relationship shouldn’t.
The service lane plays phone tag, and customers call to ask “is my car ready?” Appointments get missed, lease maturities pass without a conversation, and an unhappy customer’s complaint quietly disappears.
-
Phone tag in the service lane
Owners call to ask whether the car is ready, and advisors call back between repair orders.
-
Dates slip by without a word
Service appointments get missed, and lease maturities pass with no conversation about what comes next.
-
Unhappy owners go quiet
Feedback requests go out unevenly, and a complaint without an owner vanishes along with the customer.
What the research says Industry research, not QualiFlow results.
54%
of owners of cars two years old or newer went back to the dealership where they bought for service in 2025, down from 72% in 2023
45%
of vehicle owners are dissatisfied with their dealership service experience, mainly due to unexpected costs and poor communication
16,252
repair orders written by the average franchised new-car dealership in 2025, each one an owner to keep in touch with
Capabilities
Owner care that runs on real records
Aria handles the routine messages from what your advisors record and what you’ve approved, and hands people the moments that need them.
-
Requests routed to the right advisor
Aria collects the concern, the mileage and a preferred time, and the advisor confirms the slot. Aria never promises shop capacity it can’t verify.
-
Reminders that stay current
Confirmations and reminders go out for confirmed service appointments, and old reminders are canceled when plans change.
-
Status customers understand
Checked in, waiting on your approval, parts delay, ready and picked up, sent from the updates your advisors record.
-
Reminders that fit the vehicle
Maintenance reminders come only from approved, vehicle-specific guidance, so an EV never gets an oil-change reminder.
-
Check-ins timed to every owner
Ownership records for cash, finance and lease customers, including verified lease maturity dates, so the right conversation starts at the right time.
-
Service-to-sales handoff
When an owner mentions an upgrade, a separate sales opportunity is created for their salesperson, with the conversation attached.
-
Fair feedback. Neutral review invitations go to every eligible customer, and unhappy feedback becomes an owned recovery task.
-
No diagnosis by text. Aria never diagnoses a vehicle or promises warranty or recall coverage.
-
Consent by purpose. Appointment texts aren’t marketing permission, and opt-outs are honored instantly.
How it works
From a squeaky brake to the next car
Aria gathers the details and keeps owners informed. Your advisors and salespeople make the calls that need a person.
-
An owner reaches out
By text, email or a call, or in reply to a reminder based on approved guidance for that vehicle.
-
Aria collects the details
The concern, the mileage and a preferred time go into a service request, and the owner hears that an advisor will confirm.
-
Your advisor confirms
Confirmations and reminders follow, and status updates come from what the advisor records in the lane.
-
The relationship continues
After pickup, Aria checks in. When the owner mentions the lease ending in spring, their salesperson gets an opportunity.
A RAV4 due for an oil change
Picture the service department at Riverton Motors, a fictional dealership, reminding an owner that her RAV4 is due. Here is how the visit gets on the calendar.
-
Monday, 9:02 AM
Aria texts Maria that her 2022 RAV4 is due for an oil change and tire rotation, based on approved service guidance for that vehicle.
-
9:14 AM
Maria asks for Thursday morning. Aria records the request and tells her an advisor will confirm a time.
-
9:21 AM
Chris, the service advisor, confirms the slot. Only then does Aria tell Maria she’s booked.
-
Wednesday
A reminder goes out the day before. If Maria reschedules, the old reminder is canceled and a new one takes its place.
What you can measure
Know where every owner stands
Requests, confirmations and status updates come from what your advisors record, so the service lane and the customer see the same thing.
- Service requests by channel, and which ones still need an advisor
- Appointments confirmed, reminded and rescheduled, with old reminders canceled
- Vehicles in the lane by status, from checked in to picked up
- Owners by cash, finance and lease, with verified lease ends coming up
The view shows demo data for a fictional store. Your numbers come from your own service and ownership records.
Demo data example of a Service view for this week: 46 service requests across text, email and calls, 3 of them waiting for an advisor. Vehicles in the lane today: 14 checked in, 4 waiting on customer approval, 2 with a parts delay, 6 ready for pickup and 19 picked up. Owners by purchase type: 55% finance, 25% lease and 20% cash.
FAQ
Questions service managers ask
Booking, status updates, reminders and how feedback is handled.
Does Aria book service appointments on its own?
Aria collects the concern, the mileage and a preferred time and creates a service request. A service advisor confirms the slot, and only then does the customer get a confirmation. Aria never promises shop capacity it can’t verify.
Will Aria diagnose a problem or promise warranty coverage?
No. Aria never diagnoses a vehicle and never promises warranty or recall coverage. Those questions go to your service advisors.
Where do status updates come from?
From the updates your advisors record: checked in, waiting on your approval, parts delay, ready and picked up. Aria passes them on in plain language and doesn’t guess.
Which reminders do owners get?
Confirmations and reminders for confirmed appointments, and maintenance reminders only from approved, vehicle-specific guidance. If an appointment moves, the old reminders are canceled. An EV never gets an oil-change reminder.
Do you ask only happy customers for reviews?
No. Review invitations are neutral and go to every eligible customer. When someone is unhappy, their feedback becomes a recovery task with an owner, so it gets answered instead of lost.
