Appointments, Test Drives & Reminders: Booked, confirmed and remembered.
Aria offers real open times and books test drives, showroom visits and phone appointments only after the customer confirms. Reminders help customers show up, and when plans change, the old reminders are canceled automatically.
- Built-in dealership calendar
- Confirmed only when booked
- Reminders that stay current
Example of the Saturday calendar at Riverton Motors, Downtown: a showroom visit for a trade-in appraisal at 9:30 AM, a test drive Sam moved from 9:00 to 10:00 AM with the old reminders canceled, a confirmed test drive in a 2023 Tacoma TRD Sport at 10:30 AM, and a phone appointment in Spanish at 1:00 PM. A reminder for the Tacoma test drive is scheduled for Friday at 5:00 PM.
The problem at your store
Setting the time is easy. Keeping it right is the hard part.
One test drive can take a long run of back-and-forth texts. Bookings collide on the desk calendar, customers forget, reminders go out for appointments that moved, and sometimes a customer is reminded about a car that sold yesterday.
-
Too many messages to set one time
“Does Saturday work?” turns into a thread across two shifts, and the shopper is still waiting for a straight answer.
-
Customers forget, and slots sit empty
Without a clear confirmation and a timely reminder, the Saturday test drive turns into a salesperson waiting by the truck.
-
Reminders that don’t keep up
The visit moved, or the car sold yesterday, and the old reminder still goes out with the wrong time or the wrong vehicle.
What the research says Industry research, not QualiFlow results.
The showroom visit still matters to most buyers.
63%
of buyers said a mix of online and in-store steps would be ideal, compared with 28% who want it all online
Capabilities
A calendar that says booked only when it is
Aria and your team work from one dealership calendar, so every confirmation is real and every reminder matches the plan.
-
A built-in dealership calendar
Month, week, day and agenda views work on their own. No Google or Microsoft account is required.
-
Real bookings only
Aria offers only real open times and confirms only after the booking succeeds. A suggested time is never presented as “you’re booked.”
-
Types that match how you sell
Test drives, showroom visits and phone appointments are separate types, each tied to the vehicle and the assigned salesperson.
-
Confirmations and reminders
Timing you configure, such as the day before and an hour before. Email goes from your own connected mailbox, never a QualiFlow address.
-
Changes clean up after themselves
Rescheduling or canceling replaces the old reminders, so a customer never gets two messages that disagree.
-
A brief before every visit
The salesperson gets a pre-visit brief with the vehicle, timing, trade-in and conversation so far, before the customer walks in.
-
Aria never invents a booking. A customer hears “you’re booked” only after the calendar says so.
-
Staff confirm every no-show. Recovery starts only then, so a customer who came in is never told they missed it.
-
Your calendar, optionally connected. An optional Google or Microsoft calendar connection, for teams that want one.
How it works
From “Can I see it Saturday?” to a truck pulled up front
The same four steps run for every test drive, showroom visit and phone appointment, on every channel.
-
The customer asks for a time
By text, chat, email or phone. Aria checks the calendar and the vehicle’s status before offering anything.
-
Aria offers real open times
Only slots that are actually free for that appointment type and that salesperson.
-
Booked, then confirmed
The confirmation goes out only after the booking succeeds, with the time, the vehicle and the store.
-
Reminders that keep up
Reminders follow the timing you set. A reschedule or a cancel replaces them, and the salesperson gets the brief.
Friday afternoon, the Tacoma sells
Picture a shopper booked to drive a specific Tacoma at Riverton Motors, a fictional dealership, on Saturday at 10:30. On Friday, that truck sells. Here’s how it plays out.
-
Wednesday, 7:12 PM
Marcus books a Saturday 10:30 AM test drive in a gray 2023 Tacoma TRD Sport by text. Reminders are set for Friday evening and Saturday morning.
-
Friday, 2:40 PM
The Tacoma sells to another customer on the floor, and the deal is marked sold.
-
Friday, 2:41 PM
Instead of a cheerful “see you tomorrow” about a sold truck, the reminder is held and the sales manager is alerted.
-
Friday, 2:55 PM
Aria lets Marcus know and offers verified alternatives from inventory or a new time. He keeps 10:30 for a silver 2022 Tacoma, and the reminders update to match.
Example conversation: the 2023 Tacoma TRD Sport is marked sold at 2:40 PM, the Saturday reminder is held and the sales manager is alerted. Aria texts Marcus that the truck sold and offers a silver 2022 Tacoma TRD Sport or a 2023 Tacoma SR5, or a new time. Marcus picks the silver one at the same time. The test drive is updated and the old reminders are replaced.
What you can measure
See which appointments actually show
Every appointment is tracked from booked to confirmed, showed and sold, so you can see where the calendar leaks.
- Appointments set from conversations, by source, channel and language
- Confirmed, showed and no-show, by appointment type and salesperson
- Reschedules and cancellations, kept apart from no-shows
- The funnel from appointment to delivered, with the denominators shown
The report shows demo data for a fictional store. Your numbers come from your own calendar once Aria is switched on.
Demo data example of an appointments report for the last 30 days: 142 appointments set, 121 confirmed and 86 showed. Of the confirmed appointments, 71% showed, 12% were rescheduled and 17% were no-shows. By type: 84 test drives set and 52 showed, 38 showroom visits set and 24 showed, 20 phone appointments set and 10 held.
FAQ
Questions dealers ask about appointments
Straight answers about calendars, confirmations, reminders and no-shows.
Do we need Google or Microsoft Calendar?
No. QualiFlow includes its own dealership calendar with month, week, day and agenda views. An optional Google or Microsoft calendar connection is there for teams that want one.
When does a customer get a confirmation?
Only after the booking actually succeeds. Aria offers real open times, and a suggested time is never presented as a booking. If a time can’t be booked, the customer hears that instead of a false confirmation.
When do reminders go out?
On the timing you configure, for example the day before and an hour before. Reminders go by text or email, and email comes from your dealership’s own connected mailbox, never a QualiFlow address.
What happens when a customer reschedules or cancels?
The appointment updates and the old reminders are replaced, so the customer never gets two messages that disagree. If the vehicle sells before the visit, staff are alerted and Aria offers verified alternatives or a new time.
How are no-shows handled?
Recovery starts only after staff confirm the no-show. Then Aria sends a friendly note and offers new times. A customer who actually came in is never told they missed it.
Every lead gets a reply
Never leave a lead waiting until morning.
Aria answers, qualifies and books test drives around the clock, in English, Spanish and French, inside the rules you set.
